Mail Merge is the de-facto way of sending emails to a set of contacts. There are multiple tools out there to enable this task but that’s not the issue we are going discuss here. The biggest concern people have is finalizing on that list of filtered email Ids to whom they want to send the email. Yes, spreadsheets can be used for this purpose but it requires quite a lot of manual intervention.
Recently, Mike from Dublin, Eastern California took advantage of Combined Lists. He realized this can be quite handy to get his contacts sorted before he can go about with his standard Mail Merge.
Mike, who is an event coordinator wanted to send out an invite for his latest event to all the registrants who have earlier attended his event in Dublin and are below the age of 26.
Mostly dependent on spreadsheets, Mike wanted something better and easier this time. He already had two spreadsheets, one with his online registrations details and the other being the event attendance sheet. Both had Email ID and Name common in them. Mike brought these lists inside CollateBox and made use of the “Combined Lists” option to create a new view of his registrations list combined with the event names and location from the event attendance list.
Once this new list was ready, he just applied a filter on location and date of birth to select only the registrants who are below age of 26 and had attended the earlier event in Dublin. That’s all; he then exported the view, fed the contacts into Outlook and sent out the invites using standard mail merge function.
As Mike used Combined Lists, he saved a lot of time and energy from dribbling between multiple spreadsheets. Moreover, we realized CollateBox has more potential than we’ve ever thought and our users are already exploring few of them.
